terms & conditions

Thank you for choosing to stay with us, we look forward to welcoming you to Heron Lodge. We will assume acceptance of these terms when we receive your booking request.

BOOKING CONTRACT

The contract between us, Visit Gellan, and you, the customer, begins once we have accepted your request for a booking via email and acknowledged receipt of the booking deposit. The deposit is 50% of total cost if booked over 1 month in advance of arrival with the balance being payable 1 month prior to arrival. If the balance of any rental is not paid by the due date, the booking will be treated as cancelled. Any bookings within 1 month of arrival must be paid in full on booking.  You must be over 18 years old at the time of booking. The person making the booking will be responsible for all persons included therein and should ensure that they are aware of the booking conditions. We reserve the right to revoke or refuse prior to, or during the stay, any booking from parties which we consider to be unsuitable for the property.

COVID

As per our Covid Statement we expect guests to cancel if anyone in the party develops symptoms and we will inform you if anyone in our household  becomes symptomatic. Should you become ill during your visit we expect you to inform us immediately so we can discuss the safest course of action. We advise you to take out holiday insurance to cover the cost of extending your stay should you need to isolate as we cannot cover this cost.

THE PRICE

The price quoted on the booking form is per night for the Lodge with a maximum of two adults and includes: 

•    Bed linen, towels and cloths
•    Basic toiletries e.g. hand soap, toilet roll
•    Dish washing and cleaning materials
•    Pots, pans, crockery and cutlery 
•    Complimentary tea and coffee (inc. a cafetiere) 
•    Drinking water
•    Selection of condiments, oil, vinegar, salt, pepper, herbs and spices
•    One full basket of logs, kindling, fire lighters and matches
•    Information about paces of interest, books, games  
•    First Aid Kit, fire blanket and extinguisher 
•    Clothes drying rack 

 

PAYMENT

We accept credit or debit card via our online booking system. We do not accept cash.

OCCUPANCY

The number of persons occupying the property must not exceed the maximum of 2 adults plus one dog and baby. Any breach of this will result in you being asked to leave the property without refund. We require names and addresses of all adult members of the party.

CANCELLATIONS & CHANGES

Any cancellation must be made via email and the following applies:

 

Cancellation Fees: 

  • 1 month (over 30 days): No fee and deposit returned in full. 

  • 1-4 weeks (7-29 days): Full deposit. 

  • Less than 1 weeks (under 7 days): 100% of the accommodation cost. 


All changes to bookings are subject to a £20.00 administration plus the difference on any increase in price. Please note that if the total price of the new reservation is lower than the original booking, no refund will be made. Changes can only be made via email. This policy covers all cancellations except those that are due to any further government (UK or Scottish) restrictions relating to COVID in which case an alternative date or full refund will be offered.

CIRCUMSTANCES BEYOND THE CONTROL OF THE OWNER (FORCE MAJEURE)

If for any reason we have to cancel your booking in advance due to circumstances beyond our control for example fire, flood, exceptional weather conditions, epidemics, destruction/damage to the property (“force majeure”) you will be refunded the full amount of the booking. If we have to terminate your holiday early for the above reasons you will be refunded part of the booking fee based on the time remaining of the booking. This will be the full extent of the liability of the Owners. No additional compensation, expenses or costs will be payable.

ARRIVAL & DEPARTURE

Check in is from 3:00pm – 6.00pm but you are welcome to offload your luggage earlier so you can explore. In order that the property can be thoroughly cleaned and prepared for the next arrival, latest departure time is 11am.

COMPLAINTS

It is very important to us that you have an enjoyable stay at Heron Lodge. Yet in the unlikely event of a complaint you should contact us immediately and we will do our best to resolve this as soon as and as reasonably as possible. No complaints can be considered after departure from the property.

​

DOGS

Dogs are welcome to all our properties but we need them to be house trained, kept under proper control and not allowed on the furniture or beds. They must not be left unattended in the property and all dog waste collected and disposed of in bins provided. Dog owners will be held responsible for any damage caused to the property, contents or garden by their dog. When out walking within the property grounds and estate, you must ensure that dogs are kept under close control. They must not be allowed to disturb livestock, deer or game birds. A fee of £15 per dog per stay will be added onto each booking to cover additional cleaning costs.

FIREWORKS

Fireworks are not permitted. 

​

SMOKING

Smoking is not permitted in any of our properties and a flat fee of £500 will be made if there is any evidence of smoking within the property

​

CARE OF THE PROPERTY

You are responsible for the property and are expected to take all reasonable care of its furniture, pictures, fittings and effects, in or on the property. You must leave them in the same state of repair and in the same clean and tidy condition at the end of the rental period as at the beginning. You undertake to leave the property secure if left unoccupied during the period of let. Accidents happen, we ask that any breakages or damage (accidental or otherwise) should be reported immediately to us. You are legally bound to reimburse us for replacement, repair or extra cleaning costs should we request this. Any missing inventory from the property on your departure may also be charged for.

LIABILITY

We do not accept any liability for any damage, material loss, additional expense, injury to any member of your party or inconvenience directly or indirectly caused by or arising out of the property unless proven to be caused by a negligent act by ourselves, our employees or contractors whilst acting in the course of employment. No responsibility is accepted for loss or damage of the property, (including pets), vehicles or vehicle contents belonging to the hirer or any member of the party during their occupancy.

NOISE

Excessive noise or partying will not be tolerated and will result in ejection from the property.

​

KEYS

There will be a £25.00 charge should a guest lose or damage keys. Failure to return keys on departure could also incur the same charge.

 

DATA

Any data gathered during the course of this booking may be held on computer in line with our privacy policy.

​

WAIVER

Our failure to enforce or exercise, at any time or for any period of time, any term of, or any right pursuant to this Agreement does not constitute and shall not be construed as a waiver of such term or right.

​

These booking conditions supersede all previous issues. December 2020
